Event terms and conditions

Please read these terms and conditions carefully before registering for an event.

Participation

  1. You confirm that, to the best of your knowledge, your general state of health and fitness is good, and you take full responsibility for your training. You take part in this event at your own risk.
  2. You confirm that you will be the minimum age required to take part in the event. For more information on age requirements for specific events, please emailrun@meningitis.org.
  3. You agree to Meningitis Research Foundation storing the information that you provided on your registration or application form on our database. Please see our privacy policy for details.
  4. You understand there may be Team MRF filming and/or photography on race day and that images may be used for marketing and/or publicity to promote the charity and raise funds. They may be included in publications, promotional materials, social media, our website or the relevant event organiser’s website. If photography takes place, we may upload the final images to a shared Google Drive for all runners to have access to, via an emailed link shortly after race day. If you do not wish us to use any images taken of you or your family please email us on run@meningitis.org so that we can take appropriate steps to ensure images are not used for any purpose.
  5. By signing up with us, you acknowledge that you will also need to register directly with the event organisers and agree to their Terms & Conditions. We will send you the necessary details to do this. Your place is not confirmed until you complete this step.
  6. You agree that Meningitis Research Foundation will share your details with the event organiser for the purposes of confirming your place with them.
  7. Failure to register with the event organiser by the specified deadline will result in your place being lost and, in these circumstances, you will not be eligible for a refund of your entry fee and will not be able to take part in the event.
  8. You are responsible for arranging travel, accommodation and other logistics for your event where needed. Meningitis Research Foundation is unable to provide support for these logistics.

Registration and fundraising obligations 

  1. Where relevant to your fundraising activity, you agree to abide by the fundraising guidance set out by our regulators (Fundraising Regulator, Scottish Regulator, Charities Institute Ireland). This guidance will be relayed to you by MRF staff and important information such as safe and legal fundraising is available on our Resource Hub which we will signpost you to upon sign up.  
  2. You agree to setting up your fundraising page within 1 week of paying your registration fee.
  3. You understand that your registration fee is not refundable and includes VAT. This fee does not contribute towards your fundraising target. 
  4. You agree to raise all money using legal methods and complying with the advice given by our Events Team. All funds raised for Meningitis Research Foundation through the event will be made payable to Meningitis Research Foundation only. 
  5. You understand that Gift Aid is not included in your minimum sponsorship. The money raised from Gift Aid is an additional bonus for Meningitis Research Foundation.  
  6. Your full minimum sponsorship amount must be raised by 1 month after the event date.You also agree to the relevant event fundraising milestones below. Failure to reach these milestones may result in your place being forfeited and you may lose the chance to take part in an event for Meningitis Research Foundation in the future. In these cases, your registration fee will not be refunded. If you sign up to the event later in the journey your milestones will be adjusted.

Deferring your place

  1. If you are unable to take part in the event and wish to defer your place to the following years’ event, you must let us know as soon as possible by emailing run@meningitis.org  
  2. The following year you will be asked to reconfirm your deferred place by our events team and given a specific deadline to confirm. If you do not respond to this request your deferred place will be cancelled. 
  3. You can only defer your place once. If you wish to take part in the event again after already having deferred once, you will need to apply or register again, agree to raising the full target and paying the full registration fee again for the relevant event.
  4. If the fundraising target for your deferred year increases, you agree to reaching this new target.
  5. You will be able to carry over 100% of your fundraising into your deferred years’ target and you will not be asked to pay your registration fee again. 
  6. If you defer following the official registration (console) deadline, you may still receive communications from the event organisers. These can be ignored. 

Withdrawing from an event

  1. If you wish to withdraw your place you must let us know as soon as possible by emailing run@meningitis.org. Once your place is withdrawn you are no longer liable to reach your fundraising pledge, and you will no longer receive communications from us about the event.  
  2. If you request that we withdraw your place, any sponsorship money raised will be treated as donations and kept by Meningitis Research Foundation unless your sponsors contact run@meningitis.org directly for a refund. 
  3. If you withdraw following the official registration (console) deadline, you may still receive communications from the event organisers. These can be ignored. 

Complaints

  1. If your experience of Meningitis Research Foundation falls below the standard you expected, you can submit a complaint here. You will be given a list of contact addresses you can get in touch with. You are welcome to complain to our fundraising address where your complaint will be reviewed by a fundraising manager. However, if you do not wish to complain directly to the fundraising team, you are welcome to email info@meningitis.org where your complaint will be received and managed by our core team.
